2006 ANNUAL MEETING, GRACE CHURCH, MADISON, SOUTH DAKOTA January 28, 2005 IN ATTENDANCE: Kitty & Dale K.; Jab J. ; Earl & Bonnie M (I'm not sure what their last name is...); Dave & Jan S.; Michael S.; Michelle and Chandler K.; Jim & Jan B.; Tim & Lynn D.; Mo. Ellen L. Meeting was brought to order by Kitty , Senior Warden. Church positions were discussed; all persons currently holding positions volunteered to continue for 2007. Positions are as follows: • Senior Warden: Kitty K. • Junior Warden: Janice J. • Secretary: Jan B. • Asst Treasurer: Tim D. • Marketing: Michelle K. Kitty presented parochial report. She counts 25 communicants in good standing for 2006, which includes three members under the age of 16. The average attendance for 2006 was 13.5 per week. Financial report was given by Kitty. Revenues were $12,469.05. We contributed $1400.00, or 14.2%, to the diocese; they request 16%. UTO offering was extremely low in 2006, down to a total of $78.00. General discussion was held regarding the necessity of renewing our commitment to the UTO offering. Discussion was also held regarding pledge cards, which we had tried before and they did not work well; it was decided that the cards would be an unnecessary expense. End of year balances were as follows: $5960.50 in a 5.5% 12-month CD; $12,025.44 in the church checking account. It was felt that this was too high a balance to maintain in the checking account, and Kitty will check on 3- and 6-month CD rates and present her findings to the church. Move to accept financial report was given by Jan B., seconded by Michelle K. and accepted unanimously. In keeping with church finances, it was pointed out that camp sponsorships, ad expenses, etc., should go through the church for payment or reimbursement; i.e., the sponsorship funds should be given to the church and the church should then write a check for the sponsorship, with a receipt given to the person donating the sponsorship. Also, receipts should be presented to the church for expenses incurred by members who would be given a receipt for tax purposes. Michael S. was recognized and thanked for his continued maintenance of the church web site, www.madison-episocopal.org. Marilynn P. is acknowledged and thanked for her volunteerism in maintaining church supplies. Michelle K. is interested in ideas for marketing the church. She has done an excellent job the past year in developing ads for the church, at her own expense, and was acknowledged for this. She has several ideas in the works, including a possible web site for listing strengths/weaknesses;suggestions. Mo. Ellen brought up her opinion that evangelism happens more on a one-to-one basis, and that we should try to be congizant of the opportunity to share our faith whenever possible. The possiblity of a church archivist was presented. We are extremely proud of the past efforts of the women of the church to maintain our scrap books; however, it has been several years since this was done on a routine basis. It was agreed that everyone who reads the Madison and surrounding area papers would bring any and all clippings to the church on Sundays; they will be sorted through and another scrap book begun. Lenten suppers were discussed. Jan B. will post a sign-up schedule so that this can be organized. Mo. Ellen suggested that we connect the Lenten suppers to the UTO offering, perhaps taking a special offering during our evening prayer services and designating that for UTO. All felt that this was a wonderful suggestion. Jan S. will investigate various Lenten instructions and present them to us for choice. Jan S. is unable to teach Sunday School and was asking for suggestions that would allow this program to continue. Mo. Ellen suggested that perhaps we could do an adult education program at the same time; that we have a designated "coffee time" and then have the education programs, with instructors for Sunday School being on a rotating basis. Another suggestion was to have the children discmiss from church at a specific time for their instruction. These and other suggestions will be discussed further in the future. We want to thank David S. for his wonderful pictures of the church. The picture he took for our Christmas bullentin is stunning, and we all appreciate the effort he went through to get the perfect setting for the picture. We also want to thank Dave, Jan and Michael for the weekly bullletins that they have taken on as part of their church ministry; they are wonderful to have, and it makes it much easier to follow the service. Thank you, too, to Michael for his inclusion of these two beautiful church pictures on the website. It was quickly mentioned that we will absolutely need to do some landscaping in the Spring. It was also noted that some of our stained glass windows are in jeopardy and will probably require a professional opinion regarding the repair of the frames and how to best repair surrounding rock that has become loose and has shifted. These problems will be addressed closer to Spring. With that, a motion to adjourn was presented by Jan B., seconded by Michelle K. and the meeting was unanimously adjourned.
